New Centralized Booking Procedure for Recreation and Program Facilities

Community Leagues are informed of the results of a recent internal review of the staffing structure of the Facility Booking Unit within the Community Services Department, Community Facility Services Branchof the City of Edmonton.
 
This review was in response to facility/rental booking units currently being located in different sections and to be best situated for the pending facility growth through the openings of 5 Multi-purpose Recreation Centers over the next 3-4 years. These include:
 
Ø St Francis Xavier Fieldhouse - Spring 2010
Ø Terwillegar Community Recreation Centre (TCRC) - Fall 2010
Ø North Central Recreation Centre (Commonwealth Stadium site) - Fall 2011
Ø Meadows Recreation Centre - 2012
Ø Clareview Recreation Centre - 2013
 
The City has brought all the facility booking staff into one Facility Booking Unit. This includes staff that book the major facility groupings in and around our Multi-Purpose Recreation Centers (Arenas, Pools, Fieldhouses/Flexi-halls, Gymnasiums, and Sportsfields) together with the staff who manage the rentals/bookings in our Attractions (ex. Fort Edmonton, Muttart Conservatory, Valley Zoo) and the staff who book rooms/meeting rooms and casual rentals at the front counter of our facilities.
 
All staff involved in Facility Bookings are now in one section with the goal of more consistent allocation and business processes and enhanced booking services/information to user groups and customers.
 
The other result focuses primarily on preparing for the future Multi-purpose Recreation Centers and the approach is that the major facility groupings will be booked centrally by staff, housed together in the Facility Booking Unit on the 14th floor of the CN Tower.  This approach will build a complete Facility Booking team, with Booking Coordinators, Allocation Consultants, and Business Administration staff as well as finance and computer booking software staff all in close proximity.
 
The following (below and attached) outlines the major facility groupings and highlights any changes in these Facility Booking Units.
 
 
 
 Arena Booking Unit
No changes.
 
Aquatic Booking Unit
This unit will be responsible for booking all City operated pools for "regular" user groups. This includes Aquatic Clubs, Joint Use Schools, and Community Leagues. 
This unit will move from being housed in the Kinsmen Sports Centre to CN Tower.
Gina Holowach (who has been leading the Joint Use Aquatic Unit) will lead this entire aquatic booking unit.
                               
 Sportsfield/Fieldhouse & Flexihall Unit
The booking functions for sportsfield groups and groups who book fieldhouses will merge, with the intent to provide a more consistent staffing relationship year-round as high volumes of groups who book fieldhouses in the winter months are sportsfield user groups.
The Fieldhouse/Flexihall booking inventory will include the current Kinsmen Fieldhouse and the future TCRC Flexihall, North Central Recreation Centre, and future Fieldhouses at the Meadows and Clareview Recreation Centers.
Brenda Smith will lead this booking unit.
 
Gymnasium Booking Unit
The new facility at St. Francis Xavier High School will be imbedded in this booking unit with Gymnasiums as we anticipate the demand will be more centered on the use of the three courts individually.
 
This transition of duties and staff will happen over the next two weeks and will be complete and in place by March 1, 2010.
